Excel Data Fill on Folder Files availablity

Hello Everyone,
Can anyone suggest on below.. Seems difficult task ..
We have a Folder then sub folders & then file in it..
We want to maintain a excel which will be responsible to provide details about file & fila name..
Example -
If a particular file is exist in given path then make status = DONE with its Artist name and path of location. If file not found in given location keep it blank.
Depratment.....Model

file path ...........
\\nas\00_Projects\INDOMITABLES\01_model\char\XXXXX\INDO_XXXXX_modFinal.ma

SubFolder file path ...........
\\nas\00_Projects\INDOMITABLES\01_model\char\XXXXX\version\INDO_XXXXX_mod00 1_PRAS.ma

i.e.
 First path will return below details in excel for Department Modeling - \\nas\00_Projects\INDOMITABLES\01_model\char\XXXXX\INDO_XXXXX_modFinal.ma
Project name – Indomitables
Character Name – XXXXX
Status – Done (If file exists)

 Second path will return below details in excel for Department Modeling -
\\nas\00_Projects\INDOMITABLES\01_model\char\XXXXX\version\INDO_XXXXX_mod00 1_PRAS.ma

Modelling Artist Name - PRAS
Attached is the Excel file whcih holds sample data based on above conditions
